Executive Board Positions
President
This position is one of the required positions. This means if we don't have a President, we can't have a PTA. This position is an elected position. This position is usually a check-signer.
Duties
Plan, schedule, and run meetings. This means setting the agenda and giving it to the Communications Chair for posting, inviting any speakers to the meeting and making sure they know what to talk about, and keeping the meeting on track.
Run votes during meetings. This means making sure someone makes a motion, someone else seconds it, aye/nay/abstention are counted, and announce if it passed. All this should follow the by-laws.
Meet with the school principal (recommended at least monthly). Keep principal updated on PTA plans, and hear about any school conflicts with PTA. This may include coordinating with principal to make a PTA event happen.
Sign contracts. The PTA President is the only one who can sign PTA contracts. Notably, this includes the Yearbook contract.
Recording Secretary
This position is one of the required positions. This means if we don't have a Recording Secretary, we can't have a PTA. This position is an elected position.
Duties
Take notes at the Executive meetings and the General Association meetings.
Make those notes available for approval at the next PTA meeting.
Treasurer
This position is one of the required positions. This means if we don't have a Treasurer, we can't have a PTA. This position is an elected position. This position is a check-signer.
Duties
Prepare, maintain, and update the annual budget.
Present Treasurer's Reports at each association and exec meeting. Distribute a copy of this report to any member who requests it.
Review check requests and issue all payments as necessary. Make sure payments fit into the budget (eg. that they are against the right category, and that the budget hasn't already been depleted).
Oversee the collection of all revenues. This might mean depositing checks, or checking that checks or electronic deposits are made correctly.
Maintain the financial records for the PTA and ensure all transaction are properly recorded in the general ledger.
File tax returns for the PTA.
Provide information to the auditor as needed.
Financial Secretary
This position is an elected position.
This position prepares invoices for payment and enters them into the accounting software. This position is not a check-signer position.
Duties
Upload reimbursements expense requests into our software (currently Xero), and review the requests to make sure the dollar amount matches the receipts submitted.
Provide periodic bank reconciliations to be kept as part of the PTA records.
1st PV/Fundraising Chair
This position is an elected position.
Duties
Identify fundraising opportunities and pitch them to the exec board and association.
Arrange fundraisers. This includes coordinating with the companies included in the fundraiser, as well as submitting forms to the school District Office.
Make sure Noble gets paid properly after the fundraiser.
2nd VP/Outreach Chair
This position is an elected position.
We haven't had this position filled at Noble, but the general idea is that this position would be in charge of keeping the PTA inclusive. This can mean multiple things, such as being an advocate for underrepresented voices in our PTA plans, making sure our membership accurately reflects the school membership, and that the students have a voice in the PTA. This position is in charge of developing activities that include and would be of interest to students, single-parent families, working parents, grandparents, senior citizens, people with disabilities, non-English-speaking people, and people of varied cultural, ethnic, and social groups.
Historian
This position is an elected position.
Duties
Report volunteering hours to 6th District. This means asking monthly for what hours everyone has contributed to the PTA and adding them up at the end of the year.
Auditor
This position is an elected position.
Duties
At Noble, this position entails a monthly "5-minute audit", and twice a year a more thorough audit of our books. The general idea is the make sure what the PTA spends is approved by the association and paid correctly.
Hospitality
This is an appointed position.
Duties
Arrange food and childcare for in-person PTA association meetings.
Arrange food for Teacher/Staff when they report back to school (usually about a week before the first day of school).
Arrange food for Welcome Breakfast (usually something like coffee and donuts/bagels on the first day of school).
Arrange food for teachers for Conference Weeks (usually a potluck where parents sign-up to bring a contribution).
Parliamentarian
This position is an appointed position.
Duties
This position keeps the PTA on track with regard to rules and by-laws, as well as keeping meetings on track for time. They also run the elections for next year's Executive Board.
Membership Chair
This is an appointed position.
Duties
Help generate membership. This might mean helping with ads for PTA membership, or organizing events to promote PTA.
Maintain membership records (currently through Totem). This might mean adding new members into the system.
Make sure membership dues are paid to 6th District as appropriate. The Treasurer helps with this.
Report on membership numbers at association and exec meetings.
Reflections Chair
This is an appointed position.
This position is in charge of running and implementing our Reflections program. This means advertising (though the Communications Chair often helps with this), figuring out how to collect submissions (either online or in-person), arranging judging, and presenting winners with any prizes.
Communications Chair
This is an appointed position.
This position helps communicate PTA goals and activities to the school community. This might include posting on social media, sending emails to members, and creating advertisement for PTA events.
